SPECIFIC TERMS AND CONDITIONS FOR THE GALA DINNER

By purchasing a ticket and/or attending a Belgian Club Dubai (BCD) event, attendees acknowledge and agree to these terms and conditions. The Belgian Business Council (BBC), its sub-committee the Belgian Club Dubai, and all associated individuals—including board members, organizing committee members, and volunteers—shall not be held liable for any direct, indirect, incidental, special, consequential, or punitive damages, losses, or injuries incurred during any event, meeting, or activity organized by BCD or BBC. This includes any loss or damage resulting from the conduct, behavior, or actions of members, attendees, or third parties connected to the event.
 

All members of the Belgian Club Dubai committee are volunteers and receive no remuneration for their work and commitment to the Belgian expatriate community in Dubai, UAE.


1. TICKET PURCHASE AND TRANSFER

  • Tickets for the Gala Dinner are issued as electronic tickets, which are strictly non-transferable and non-resalable.

  • Ticket transfers may only be permitted under exceptional circumstances and require prior approval from the Belgian Club Dubai. Unauthorized resale or transfer of tickets will result in the ticket being voided, and no refund or event entry will be provided.


2. EARLY BIRD AND MEMBERS-ONLY TICKETS

  • Early bird tickets and "members-only" tickets are exclusively available to paid members of the Belgian Club Dubai (BCD), the Belgian Business Council (BBC), or the Belgolux and Benelux Business Council from Abu Dhabi.

  • Proof of valid membership must be presented during purchase and may be subject to verification. Any violation of these terms may result in the cancellation of the ticket without a refund.


3. PHOTOGRAPHS AND RECORDINGS

  • By attending the event, attendees grant the Belgian Club Dubai and the Belgian Business Council irrevocable consent to be photographed, filmed, or recorded.

  • The organizers reserve the right to use any images or recordings for promotional, archival, or social media purposes without compensation to attendees.


4. EVENT MODIFICATIONS

  • The organizers reserve the right to modify any aspect of the event, including but not limited to the schedule, venue, or program, without prior notice.

  • Attendees will be notified in a timely manner of any significant changes that may affect their attendance.


5. CODE OF CONDUCT

  • All attendees must conduct themselves in a respectful and appropriate manner at all times.

  • The Belgian Club Dubai and the Belgian Business Council reserve the right to deny entry or remove any attendee whose behavior is deemed inappropriate, disruptive, or in violation of event policies.

  • Any individual removed from the event will not be entitled to a refund.


6. FORCE MAJEURE

  • The Belgian Business Council and the Belgian Club Dubai shall not be held liable for any changes, delays, or cancellations arising from events beyond their control. This includes, but is not limited to, natural disasters, pandemics, government restrictions, acts of war, terrorism, civil unrest, or other force majeure circumstances.


7. REFUND POLICY

  • All ticket sales are final and non-refundable, except in cases where the event is officially canceled or rescheduled due to force majeure circumstances, adverse weather conditions, or other unforeseen events.

  • Refund requests will only be processed following official notification of the event cancellation or postponement.


8. PRIVACY AND DATA PROTECTION

  • 8.1. Data Collection and Use: By registering for this event, attendees consent to the collection, use, and processing of their personal data by the event organizers for event management and communication purposes. This data may include, but is not limited to, names, contact information, and dietary preferences.

  • 8.2. Data Security: The event organizers are committed to protecting the privacy and confidentiality of attendees' personal data. All personal data will be securely stored and accessible only to authorized personnel.

  • 8.3. Data Sharing: Personal data will not be shared with third parties without the explicit consent of the attendees, except when required by law or necessary for the execution of the event (e.g., sharing dietary preferences with catering services).

  • 8.4. Data Retention: Personal data will only be retained as long as necessary to fulfill the purposes for which it was collected and to comply with applicable legal requirements. After this period, personal data will be securely deleted.

  • 8.5. Attendee Rights: Attendees have the right to access, correct, or request the deletion of their personal data. Requests can be made by contacting the event organizers at [contact information].

  • 8.6. Compliance with UAE Law: The event organizers will comply with all applicable data protection laws and regulations in the UAE, including the Federal Decree Law No. 45 of 2021 on the Protection of Personal Data.
